DataTrak makes managing employees at your club easy and convenient. Through DataTrak, you can quickly create new employee records to maintain contact and employment information all in one place.

Adding a New Employee in DataTrak:

1. Open the Setup menu.
2. In the Employee section, select “Manage”.
3. Click“Create”.
4. Fill out the information for the employee and click “Finish”.

It’s that easy! This and more information can be found on the DataTrak Help website. Use the search bar on this site to learn more about using DataTrak’s features.

The Member Sets feature gives your club the ability to gather similar members together and perform functions such as adding a note, sending an email, or giving away services to multiple members at one time.

The Member Sets feature can be created by clicking the Manage tab under the Members column.  By using the search fields, you can filter the criteria you wish to use to create the Member Set. Once you have found your members, use the Include All button from the top to select all of the members currently displayed on the page.  If your search returns multiple pages of members, you can use the All Pages link to select all members on all pages as shown in the picture below.

From the upper right navigation links, click Selected Members and then choose Add To Member Set.  You will be given the opportunity to add the selected members to an existing Member Set or you can create a new one.

To use a Member Set you’ve created, navigate to Menu and choose the Manage link under the Members section. Next, select the Member Sets tab from the Search menu and click on the link for the Member Set you wish to display. Then, you can choose to include all members on the page shown or you can include all members on all pages.

Finally, Click Selected Members in the upper right navigation links to perform the action of adding a note, giving away a service or sending an email to all selected members.

ABC Financial is excited to offer Event Commission Groups as a new feature in our DataTrak System. This feature was included in release 2.53.0 on May 29, 2013 and is available for all of our DataTrak clients. Event commission groups allow you to gather multiple events together and set default commission values for each event within the group. These groups can then be deployed to one or more employees in a few easy steps.
The Event Commission Groups page can be found by clicking Setup and then looking under the Settings column.

When you deploy an event commission group to an employee, DataTrak will add or update the event commission information for that employee. You can still manually set event commissions for an employee as needed, however, changes that you make on the employee’s Scheduling Options page do not affect the default values within the event commission group. To change those default values, you must edit the event commission group and then redeploy it to the desired employees.
When managing event commission groups, please keep in mind that event commissions are set at the Company level. You can set default commission values for each active training level.

Attendance

The Attendance link displays events with a pending status for that day. You can select and update specific events or use Include All to update all the day’s events.

Unbooked Employee Events

The Unbooked Employee Events link displays events that are scheduled without an employee assigned. You can select and add employees to these events from this page.

Unbooked Location Events

The Unbooked Location Events link displays events scheduled without a location. You can select the event and add a location from this page.

Unfunded Events

The Unfunded Events link opens the Manage Events page using the Unfunded favorite display. By clicking the No link under the Status Funded column, the Edit Event pop-up will open. Clicking Fund from this view will open the Point-of-Sale and allow you to purchase the service and fund the event.

Are you interested in seeing how many new accounts have been approved so far this month? There is a report named “Daily New Accounts” located in the Club Reporting System (CRS) under the Daily tab. This report provides a list of all ABC Managed accounts entered month-to-date.

The “Daily New Accounts” report shows a variety of new account data including:

• Name
• Agreement number
• Type of agreement
• Payment mode used

Several important dates are displayed as well.

• Member since date
• Begin date
• 1st due and expire dates (depending on the agreement type)

The bottom portion of the “Daily New Accounts” report provides a summary of the total number of accounts as well as the total invoice amounts. The invoice amounts are grouped and totaled by profit center.

With Card on File, you can store a member’s credit card information in the DataTrak software so that they will be able to make purchases without the hassle of having to carry their purse or wallet into the club. It’s as simple as pulling up the member in DataTrak, ring up the item being purchased and clicking the Card on File payment option. This runs a real time transaction so you know immediately if the card has been declined or cleared. Have the member sign the receipt and you are done.

With this feature, many clubs have seen their product sales grow as much as 25%. Not only does this increase your sales but it’s also a convenience that is greatly appreciated by your members.
