One of the many benefits of using DataTrak is the ability to edit and run reports. Would you like to see a list of all active members by their join date? There is a report for that. Would you like a list of prospects in mailing label format? There is a report for that. With all of this information available, you might ask, ?how do I keep this out of the wrong hands?? Our Report Security feature is the solution.

By using Report Security, you can grant or restrict access to a report by employee or by security role. Report Security can be found in DataTrak under the Setup menu, beneath the Employee column. To manage Report Access:

1. From the drop down menu on the upper left side of the Report Security page, select either employee or security role
   • To manage access to reports for a specific employee, change the view to employee then select the employee you wish to manage
   • To manage access to reports by security role, simply change the view from employee to security role then select the role you wish to manage. In the upper right side of the page you will see a list of users for the selected security role.
2. In the select reports section, the left column displays reports that are available, the right displays reports that are selected and to which the employee has access.
   • To grant access to a specific report, use the middle arrows to transfer the report from the available column to the selected column.
   • **Note: the top and bottom arrows will move all reports**

You might notice the Reports for User (by Security Role) section in the upper right side of the page. This section displays any reports available to the employee based on their security roles.

We all know that people are the most important asset in any company. A well-trained and efficient employee can sometimes seem worth their weight in gold. Often we find ourselves saying, ?If we had just three more like Smith, MAN, we?d be rocking.? It?s easy to assume that these employees come to you already amazing; however the reality is that those individuals have had a very unique set of circumstances that have trained them to their current level. So the question is, how do you recreate this in your current workforce?

One of the first steps is to assure that your employees are comfortable with the tools they will be using on a daily basis. As software is ever changing, it?s important to take advantage of the training materials immediately available. This will help ensure that your employees are staying up to date and aware of the latest features and enhancements. These resources can prove invaluable in the continuing education of your staff.

One of the easiest ways to access ABC?s training materials is on our Help website. You can also view video tutorials and help documentation on the most common questions you have about our software simply by visiting help.abcfinancial.com

Additionally, many of these resources can be found within the various software solutions ABC provides. In the DataTrak software, you will find help documentation by clicking the blue question mark in the upper right hand corner. There is also a movie icon that will take you to the video tutorials, which will educate you on the various areas of the software.

Once you have logged in to the Online Business Center, you will see a Mics. Links section listed on the right hand side of the screen. Under this option you have access to Tutorials, Web Help and Release notes that can assist in gaining a better understanding of the features and tools available to you.

When logging in to the Club Reporting System, you should immediately see the most recent release notes with a brief description of the changes that occurred. Additionally, in the upper right hand corner, you will see a toolbar with options such as Recent, FAQ, Help and Release Notes. All of these sources are valuable and can provide you with a greater level of understanding of the product.

Another resource available to our clients is the Client Services and Technical Support departments. Both are trained in the various usage and functionality of our software solutions. Have you noticed the update to the Monthly Billing Statement report located on the Billing Tab in the Club Reporting System? With new links in the deductions section for Credit Card Pass Thru and ABC Processing Fees, you are now able to get a clearer picture of your monthly processing fees. In other words, clubs can now get a full breakdown of how much you are paying to credit card companies and ABC Financial for processing your monthly membership payments.

To view details regarding the merchant fees (Visa, MasterCard, American Express and Discover), click the blue underlined Credit Card Pass Thru Fee link in the deductions section of the Monthly Billing Statement. This will display a report that will show how many transactions were processed for each credit card type. You will also see the Total Transaction amount that was processed, the Percentage Commission Fee amount and the Monetary Transfer Fee amount. The total amount deducted for each credit card type is located in the ?Total Amount? column. The grand total for all credit card pass thru fees is shown at the bottom of the report.

The Credit Card Pass Thru Fee report gives information on the fees being paid to the credit card companies. To find the breakdown of how much is being paid to ABC Financial Services for processing the payments, we have provided the report titled ?Processing Fees?. When you run this report, you will see a description of each payment category and how many transactions were processed. The Transaction Amount is the total amount billed for each payment type and the Monetary Transfer Fee amount is the amount paid to ABC Financial. The grand total for all transactions is listed at the bottom of the Total Amount column.

Remember, this update was made to the Monthly Billing Statement report located in the Club Reporting System and should be used to get a breakdown of the monthly processing fees and credit card pass thru fees.
